Chapter Meetings, RSVP's, Payments:
Let's truly try to GO GREEN!
As a Chapter, we can cut back on paper and TIME...


We are looking into adding a PRE PAYMENT WITH CREDIT CARDS method on our website.  This is a process that costs the Chapter money in the form of financial percentages taken in. In other words, the less the system is actually used, the higher interest percentage rate assessed to us. We need to take a vote at the next Meeting on July 22nd, if it is voted in and once this happens, you would have the freedom and direct access to paying for the meetings in advance and thus cutting back on paper for receipts or receipt books, as the system will automatically generate a one (receipt) after your payment is made. Thus reducing paper needs on our end. This will also allow you to supply your Company with a receipt prior to the meeting and many times provide you with re-payment from your company, in some cases, even prior to the meeting and cut back on any interest you pay on your personal credit cards when used for re-payment as a company sponsored meeting.

There are many chapters nationally that will ONLY accept RSVP's and prepayments done via a website. Many Chapters use the very same website format we currently use through Star Chapter. We are looking to use this website for much more than basic information as it has a lot of options that we as a Chapter do not currently use. Especially the RSVP through the website option. It is because we have become a little spoiled and wait for someone to physically call us to remind us and it's only then do we RSVP in advance. I do not need to remind all of you that Caterers must have adequate time to make purchases such as food, beverages, linens and special needs requests such as A/V needs etc, and that unless we as a group take more responsibility in RSVP'ing without having someone call you every month and leaving message after message just to make sure we are set up accurately. We MUST respond to them and have it in our contract as a NACE Meeting that we will RSVP by 5PM on the Friday prior to the meeting date.

I realize that we have some  in our Chapter that appreciate and prefer a more personalized service of the phone-call reminder, but also remember that all the volunteers who currently call you each month, are just that...VOLUNTEERS, they are not paid to do this job, so the courtesy is time consuming and tedious. I am pleased to tell you Chuck Drake currently is manning this operation every month and has actually said, he is happy to do it and he does a good job doing it. But he is also working hard at assisting in building our Membership base and correcting some of your website data information, as he is also a volunteer in that capacity. He is also trying to receive mentoring for the position on the Elected Board. Therefore we as a chapter need to be more respectful to the volunteer hours spent so as not to tax anyones spirit or enthusiasm in working and volunteering for the chapter. There are a few people who work very hard to keep our Chapter organized, Chuck is just one, but his time can be better spent getting us more members and keeping them retained as he wished to move up to the Elected Board Member status soon and tackle Membership as an elected official. We also have our Treasurer who has to send our reminders for payments for RSVP/No Shows. This is also a time consuming method. If prepayment is made, then we have a little less work for Aymee Sutterby, to send out reminders that payment needs to be made for the RSVP that you made and then didn't show up for. Once we give our host property's a head count, we have to PAY for ALL NO SHOW's if we RSVP'd for you.

Maybe prepayment is the answer, maybe it's not, either way we should at all times RSVP through the website even if it's just the RSVP only and not necessarily prepayment but just to save Chuck a few minutes as that would be one less phone call that needs to be made. I also believe we would have a few less no shows each month if there was a prepay on it. It's much less feasible that  a member would have be a no show if they have already paid for the event in advance.

This will be a topic for discussion in the July Meeting.

We welcome Nicole Briggs as a volunteer for the position as our new Hospitality Chair, this means she will be smiling and assisting Chuck Drake when you arrive to make sure you meet all our new guests and prospective Members. If anyone else is looking to work and assist with anything Board related we are still looking to fill some chair positions to include:

ARCHIVIST / HISTORIAN
PUBLIC RELATIONS
ADDITIONAL HOSPITALITY STAFF
PROGRAMS and LOCATIONS - committee staff
NEWSLETTER / WEBSITE SUBMISSIONS - everyone and anyone can send in submissions as long as they are received prior to the 9th of every or any month.


Just to name a few.

We have our own local elections that will take place in November at our monthly meeting. If anyone is looking to join the Board for either a Board Position as an elected officer or volunteer their talents as a chair person or committee person, now would be a good time to mention it to our Nomination Committee, who will be staffed by Pat Discianno, Tina Smyth currently. These ladies are not seeking to run for an elected position and they have volunteered their services for this upcoming election.

ALSO....2nd ANNUAL TASTE of NACE is approaching fast, and we need your information if you plan to be a vendor, I sent you all an EMAIL regarding this earlier today, please take the time to review it and call Tina Smyth or myself if you have any questions.

And lastly we have a VOTE for our Chapter's benefactor for our Holiday Gala. If you have a Charity or Special Needs group that you would like to submit. I need that information as soon as possible to add it to a VOTE form being distributed at the same meeting. So please forward all details to me as soon as you can, I need them by NOON and no later on Monday July 21st. I detailed the criteria information needed on my Presidents letter when I updated the Newsletter. Please read it carefully as I will need all the criteria to add to the voting form. We are proud that Zoe Prosser-Gallina is the Holiday Gala Chair and she has a location selected and I will try to make sure that you are updated with information as the plans transpire. Watch for information on this website and in subsequent newsletters very soon!

President's Report:
Dear Florida West Coast NACE Members and Friends,

HAPPY 4TH of JULY AMERICA and FWNACE!


As we mark the half way point to our next BIG event for FWC NACE, I wish you all a Happy July as well!  We approach our fiscal year for many of us soon, so start working on those budgets soon as possible to appease your boss and make sure you factor in the higher gas prices so as not to skew your numbers and lose sight of next years goals and sometimes...bonuses! The rising gas prices will be huge financial factor for all of us, so be honest with the ramifications and be willing to tell your bosses sometimes, that you already recognize the need to work a little harder this upcoming year to achieve your goals. It is always a good time of year to remind him/her of this and make yourself stand out above your peers, as this will show you are a dedicated employee and key to your Company Goals and your staffs successes in the upcoming year. This time of year and with escalating company costs it never hurts to remind your Company that you recognize the steps necessary to stabilize costs and make ends meet to achieve company goals, it will also keep you from getting laid off when most company's are willing to trade down experience for saving a few dollars. This will keep you off the PINK SLIP list which occurs to most who stand by complacent and are not willing to speak up in advance of crisis and budget cut backs.

This has been a very busy year for FWC NACE!  We have a new location scouted for our Holiday Party this year and it is time to select our Charity which will benefit this Holiday Gala. Please feel free to obtain all information at this time to submit prior to our next meeting to help us in adding the Charity you would like, to the voting form that will be on every seat at the next Meeting. Clothes to Kids, INC, is still hoping that we move forward again with them and they really appreciated all we could do for them this last Holiday Season, however we vote on the Charity every year, so this must be put forward via a vote at the next Meeting in July. We need as much information as possible on any other Charities you deem as viable and needing our assistance. This Holiday Gala, will perhaps split or a portion of all agreed proceeds to be given to the Charity and also be set aside as a fund raiser for FWNACE.  As a few members of the current Board and myself attended a Leadership Summit  this last January, we found many and most NACE Chapters do NOT give all proceeds to the Charity but use this event as a fund raiser for their own chapter to strengthen their own bank accounts at the same time. This has been structured to afford more scholarship opportunities to also sometimes include the flight and the rooms required to attend the Educational Conference. So we will be examining this process closely for the financial interest of the Chapter for the first time this year. We have been able to just barely break even the last 5-6 years at these Holiday Events financially as we are trying to keep ticket costs down for all members, due to this, FWNACE has not made any money personally on these events and the costs for implementing a really nice event for the Holiday have substantially escalated in the last few years. As food prices and staffing costs on the rise, we too will need to make better decisions, regarding this matter.  This decision regarding the Charity will be facilitated  via vote at the next meeting.   PLEASE SUBMIT ALL CHARITY INFORMATION ASAP, so we can include it in the ballots for the Charity. This information should include:

1. Name of Charity
2. What are the needs and expectations of the Charity?
3. Contact person who can provide all and any 501-C3 information.
4. Your name and contact information so we may contact you prior to contacting the Charity that is requesting assistance.

For those who were not able to attend the 50th ANNIVERSARY GALA at he Clearwater Hilton...

 you missed quite an event!


Joanie Adams really popped out a HOME RUN. ALL the stops were pulled out and Joanie and her staff at the Clearwater Hilton provided us with the finest dinner, entertainment and evening that I have personally EVER experienced in my many years with NACE. The guests were all greeted on a red carpet as they passed through a Limousine and chatted with and by poparazzi and pictures were taken of each person upon arrival. The dinner we were served, actually exceeded anything I have ever seen on both a NATIONAL and local level, in MANY years as a member. I have attended quite a few National Events and never has such thoughtfulness and culinary skill ever been seen by myself at an event with a limited budget such as this. It was absolutely fine work. The Chef prepared us a delightful menu which started out with a BIG BANG with delightful butlered passed hors d' ouevres as well as a seafood display, carved fruit and cheese display with the NACE logo's carved in everywhere and the most beautiful crystal banquet bar I have ever seen. There were cocktail glasses filled with extraordinary treats and delights. There was also a beautiful fresh seafood display with a fabulous selection of fresh and raw seafood available for all, during the cocktail hour, and this does not even begin to explain how wonderful DINNER was after that. We enjoyed Grammy Award winning guitarist, Les Sabler during the cocktail hour and throughout the dinner. We enjoyed a beautiful dinner which was ordered by selection table side as we prepared to dine, we had our personal choice of three different entrees, I enjoyed the lamb and it was cooked to perfection. Not an easy feat to get a Chef to agree to allow each participant to order their dinner restaurant style. I personally can attest that I have NEVER in my 25 years of catering experience, have I ever worked with a Chef who would agree to such standards. Especially with an aggressive menu which includes the likes of New Zealand Lamb cooked to order and in banquet style settings, I was personally very impressed with each person having a selection of FIVE different selections of carved and herb butters as well with our bread roll selection. I can tell you that I am not easily "wowed", but I continued to be wowed all night, with each passing course. The assorted greens and cucumber wrapped salad was magnificent, the intermezzo of fresh made lime sorbet was wonderfully light, sweet and welcomed.  I still find it hard to believe there was not one disappointing moment at all as we anticipated our plated dinners, with the selection of Seared Snapper filet, Grilled marinated free range chicken as well as the New Zealand Lamb Chops I already mentioned. Note: Each selection had it's own accompaniments.   The desserts was none other than a chocolate decadent delight of Cappuccino torte Striped Conde which also included a large chocolate curl, shaped and airbrushed to look like a piece of movie film with the NACE logo again making a popular appearance. Chef Ash went WAY out of his way to make sure all our culinary dreams of this event were most definately exceeded in every way and we cannot possibly thank Joanie Adams enough as she went above and beyond all our expectations and exceeded everything we thought was going to make for a spectacular evening. Kudos to Joanie, Chef Ash, George Bentley and his/her staff.  The Clearwater Hilton and Joanie has certainly set the bar high for all of the rest of us, as far as new exceptional standards of a quality event. I look forward to thanking them personally in person again <I insisted on thanking them at the event and asked to meet them in the Kitchen and drag them out for formal introductions as they received a standing ovation by all> I look forward to seeing them and thanking them again soon. As an event planner, I look forward to working with them hopefully in the near future as my confidence is very high that all high standards were and can be achieved on all levels as every one who attended can attest. Kudos again for a job VERY well done! I said that night and will say it again, I have never been so proud as I was that night to be the President of such a wonderful group and that event spoke volumes for my pride.

What does this mean?

We have heard from many members that they cannot get clearance to attend the National Educational Conference due to the rising costs st every level in Hotel, Resort and Clubs, etc. Fuel costs have certainly hurt us all on every level in very business and we understand. We have an Tuition Assistance Program this year available through FWNACE. Should you wish to attend the National Educational Conference, which could save you HUNDREDS of dollars towards attending the upcoming Aug 3-6 Conference in Philadelphia. This benefit is available for either funds towrads yor flight, room or tuition costs and will be determined on needs and how you score on a point value system. I have made mention of how to win scholarships for three years now and reminded all that you must be an active member for the last 12 consecutive months, and asissted FWNACE in some manner to achieve points towards the Scholarships. You score points through out the year by assisting the Chapter with key needs such as:

1. Raffle Donations
2. Catering or Hosting a Meeting
3. Participating as a Speaker at a Meeting
4. Chairing an Event/Meeting
5. Donate, time, services or goods to FWC NACE
6. Donate time and serve as a Board Member

If you are interested please contact me ASAP and I will send you the application immediately. Last year only two people who submitted applications and BOTH attended with a complete paid Scholarship. (Flights and Room costs were NOT paid by the chapter.) But if you have a Company who is willing to take on SOME of the costs and you must bear the rest of the costs on your own, this fund may assist you. However you can only know if you can be eligible by applying now. PLEASE CONTACT ME NOW, if you are interested. Once you apply, email of fax back the application as soon as the same day and the winners will be notified by July 18, so you can still book a 14 day advanced ticket price with Southwest, who incidentally have a very good rate for 14 day advanced tickets on the internet. (AS LOW AS $149.00!! Right now r/t)

Tom Eddie - Kirby Rentals

We have been contacted by the Orlando Chapter yesterday  and found out that our good friend Tom Eddie, who recently won Affiliate Member of the Year for the Orlando Chapter for thier 2008 Awards and who represented Kirby Rentals...(And who was working with us as a partner on the 2'nd Annual  "Taste of NACE" with the Orlando Chapter) passed away very unexpectedly this last week. He will surely be missed and our thoughts and prayers should be with his family and his Chapter who really cared for him deeply. We wish to extend our thoughts of condolences with sincerity while they endure this great loss. Since a spot-light person was not drawn at he Anniversary Gala I thought it would be appropriate to submit him here for all to say "farewell" to  our dear friend in a formal and respectful manner in this spot.

"2nd ANNUAL TASTE OF NACE"
Plans are underway!

WE are currently looking for an ALL STAR cast again this year as we plan the
"2nd Annual Taste of NACE"!

Last year was the inaugural year for this event and we invited Orland Chapter to join us. It seemed a difficult task to get them to participate at first. Then after they attended our event, they were VERY excited to participate in a more comprehensive way this year. NOW we need to get the Florida West Coast Chapter on-board again. Orlando has already signed up at least 12 participants for the 2nd installation of this event. We NEED YOU FLORIDA WEST COAST NOW!

This years event is themed as an "Event Fashion Week" with runway models to showcase products and design elements. If you are interested in participating we MUST know now!

Last Years event was a huge success and this Fund Raiser takes the place of our regular August Meeting. So prepare yourselves to attend or participate NOW. We need Caterers, Florists, Event Designers, Musicians, and virtually anyone can showcase with a first come first served admittance policy, as space is VERY limited. We had over 200 people last year and the event was an enormous success. This year Tina and I are proud to have more help from the Orlando Chapter as this was an exhausting undertaking for the two of us with the Panache volunteers last year.  However Orlando is already jumping all over the open spaces available,  so we need YOUR help NOW!

Breezin Entertainment is looking to fill a Sales and Marketing Position at our Office in Tampa. This would be an entry-level position in Sales and Marketing with a base salary of $30,000 plus commission. We are looking for individuals who enjoy the challenge of sales and understand the importance of sales fundamentals. You will have the opportunity to sell our services to hospitality centers, hotels, caterers, event planners, and brides.

 

Preference for this position would be given to those individuals with a degree from a college of hospitality and/ or recreation and leisure.
